What we collect
When you ask for a quote
Your name, phone or WhatsApp number, email address, the origin and destination of your cargo and a description of the goods.
When you become a client
Contact details, company name and address, Taxpayer Identification Number (TIN) or Ghana Card number, and details of the people we deal with at your business.
For each shipment
Shipping documents such as commercial invoices, packing lists, bills of lading and air waybills, consignee and shipper details, customs declarations and permits.
For billing
Invoices, payment records and references for bank transfers, Mobile Money, cash or cheque payments. We do not store card numbers.
When you track a shipment
The reference you enter and the last four digits of your phone number. We use these only to check the request and do not keep them.
When you use the chat assistant
The messages you type and the assistant's replies. If you ask for a quote or tracking in the chat, the details you give for that. We keep chats for 90 days so our team can follow up and improve answers.
When you visit this website
Technical data our server records automatically, such as your IP address, browser type and the pages you request. See our cookie policy.
Why we use it
| Purpose | Why we are allowed to |
|---|---|
| Preparing and sending you a quote | You asked us to (steps before a contract) |
| Booking, moving, storing and delivering your cargo | Performing our contract with you |
| Filing customs declarations and paying duties on your behalf | Legal obligation under Ghana's customs laws, and our contract with you |
| Invoicing, collecting payment and sending payment reminders | Performing our contract, and legal obligations under tax law |
| Showing shipment status on the tracking page | Performing our contract with you |
| Checking identity and screening against sanctions lists | Legal obligation, and our legitimate interest in lawful trade |
| Keeping this website secure and working | Our legitimate interest in running a safe service |
We send marketing messages only with your consent (see "Marketing messages" below), and we do not make decisions about you based solely on automated processing.
Marketing messages
If you tick the box on our quote form, in the client portal, or tell us in writing, we will send you occasional news and offers about our freight, customs, haulage and training services by email or SMS. We record when and how you agreed.
- What we use: your name, company, email address and phone number, and the language you prefer.
- How often: a few messages a month at most, never daily.
- Who sends them: our own team from our own systems. We do not pass your details to other companies for their marketing.
- Opting out: every email has an unsubscribe link, you can reply STOP to an SMS, switch it off under Account in the client portal, or email info@tradelinkslog.com. We stop within 48 hours.
Opting out of marketing does not affect the shipment, invoice and payment updates we send as part of our service to you.
Transfers outside Ghana
International freight means some data travels with your cargo: to the agent, carrier or authority at the other end of the shipment. When we send personal data abroad we share only what the shipment needs, work with established partners, and take reasonable steps to make sure your data is protected in line with Act 843.
How long we keep it
| Data | How long |
|---|---|
| Quote requests that do not lead to a shipment | 24 months, then deleted |
| Client, shipment, customs, invoice and payment records | For as long as Ghana's tax and customs laws require (currently at least six years after the transaction) |
| Website server logs | 90 days |
| Tracking page lookups | Not stored |
Your rights
Under the Data Protection Act, 2012 you can:
- ask whether we hold personal data about you and get a copy of it;
- ask us to correct data that is inaccurate or incomplete;
- ask us to delete data we no longer have a reason to keep;
- object to processing based on our legitimate interests;
- withdraw your consent to marketing messages at any time (see "Marketing messages" above).
To make a request, email info@tradelinkslog.com with your name, phone number and what you would like us to do. We may ask you to confirm your identity. Some records, such as customs declarations and invoices, we must keep by law even if you ask us to delete them; we will tell you when that applies.
How we protect it
Our systems use encrypted connections, hashed passwords, role-based staff access and protection against forged form submissions. Invoice links we email you are unique and cannot be guessed, and the tracking page asks for part of your phone number so others cannot look up your shipment. If a breach affects your data we will notify you and the Data Protection Commission as the law requires.
Complaints
Please contact us first so we can put things right. You also have the right to complain to Ghana's Data Protection Commission (dataprotection.org.gh).
Changes to this notice
We will update this notice when our services or the law change. The date at the top shows when it last changed. Significant changes will be highlighted on this website.
